What will you be doing in this role?
Under general supervision, your main responsibility in this role is to provide assistance to patients presenting to the Smidt Heart Institute Clinic Reception area. In addition, this position performs a full range of office clerical and secretarial duties to include typing, filing, copying documents, etc. At this level, you are expected to organize, prioritize, and perform work in a timely manner and within established guides, practices and procedures. Incumbents are cross-trained in other office functions and provide back-up coverage. Incumbents apply a detailed knowledge of assigned area of responsibility and general knowledge of department functions and the larger Health System in accomplishing work assignments.
Primary Duties and Responsibilities:
Calendars appointments, conference rooms and organizes travel arrangements for an individual, group or department.
Provides general information to internal or external clients or customers, answers and directs phone calls, and routes inquiries to other departments in the organization as appropriate.
Distributes and disseminates information within the department and/or unit.
Formats and types correspondence, documents, memos, reports, meeting minutes and/or presentations materials.
High School/GED, required.
Experience demonstrating ability to independently establish administrative and office procedures; ability to identify problems and resourcefulness to resolve them independently and on own initiative.
•One (1) year of administrative experience, preferred.**
•Experience in patient communications, public contact, book-keeping, business machines and correspondence is highly preferred.**
•Ability to interact effectively with Directors, Managers, internal staff, patients and representatives of public agencies and business.**
•Ability to independently establish administrative and office procedures.**
•Ability to identify problems and resourcefulness to resolve them independently and on own initiative.**
