Job Summary

The Program Administrator, Donor Relations, is responsible for supporting Donor Relations operations within Development. Responsible for the comprehensive administration of the donor recognition (courtesies/benefits) program and facilitation of stewardship touches and engagement items, while providing high-level customer service to enhance the overall donor experience. The Program Administrator will contribute to the strategic planning, design, development and implementation of program objectives, procedures, processes and standards. This role will work closely with other Development staff members and various stakeholders to ensure donor and program-related data integrity and effective donor communications. Additionally, they will be responsible for project management and for the administration of development programs. The ideal candidate will be detail-oriented, possess excellent organizational skills and have the ability to collaborate across various departments. They need to demonstrate the ability to manage multiple tasks efficiently while navigating competing priorities in a fast-paced environment. They need strong communication abilities, including writing, editing and proofreading. The candidate must work autonomously as well as be able to work seamlessly in a team development environment.

Primary Responsibilities

  • Under the direction of the Senior Donor Relations Officer, responsible for the organization, tracking and execution of the Donor Relations programs related to donor recognition (courtesies/benefits) and stewardship and engagement, requiring a high level of customer service, diplomacy, and expertise.

  • Propose, develop and organize resources to meet program objectives and maintenance.

  • Manage day-to-day operations of the donor recognition (courtesies/benefits) program, including but not limited to program report maintenance and distribution, deliverables tracking, materials and package fulfillment, documentation, etc. Responsible for being onsite to execute various components of the program. Collaborate on proposed scope and/or process changes to the program.

  • Coordinate and execute on donor stewardship, including but not limited to ordering donor gifts, managing branded swag and greeting card inventories, facilitating broad-based/holiday stewardship touches, etc.

  • Support Principal Gift stewardship work, including but not limited to tracking custom stewardship action plans, maintaining data integrity, executing bespoke stewardship, etc. Research, gather and summarize data from various sources to evaluate program performance and/or program operations.

  • Support effective donor communication strategy, including but not limited to crafting correspondence, reviewing and editing collateral, assisting with sourcing publication and reporting content, managing processes for obtaining stakeholder approvals for various communications, etc. Responsible for producing quality written content for various materials and formats.

  • Follow through on Donor Relations requests from Development Officers and Patient Relations. Provide follow-up to donors and prospects, as necessary, based on their need for information and support. Support training needs for Development partners.

  • Support maintenance of the donor database (Raiser’s Edge); ensure that information for assigned Donor Relations-related areas is kept current and up to date. Use donor database consistently and timely to track Donor Relations activities. Assist in the development of reports for Donor Relations projects and performance.

  • Support with planning, monitoring and managing Donor Relations programs’ fiscal budgets and financials; track supporting budget/financial files and documents.

  • Document and track project compliance for various donor-named entities.

  • Responsible for project management, coordinating activities and timelines, creating plans, and collaborating with staff, vendors and applicable community parties, ensuring that projects are delivered on-time and within scope. Responsible for developing or recommending process and improvement measures and determining if resources meet program objectives and needs.

  • Provide support for donor recognition events and various programs as needed.

  • Complete other duties and projects as assigned.

Qualifications

Education

HS Diploma/GED Required; Bachelor's Degree Preferred

Experience

3 years experience working in Development preferred

3 years progressive responsible administrative and strategic support experience preferred

2 years prior experience in a healthcare or higher education setting preferred

Experience with fundraising database (i.e. Raiser's Edge) preferred
