Cedars-Sinai Management Assistant II in Los Angeles, California
Under general supervision, provides administrative support, coordinating all administrative activities of the office. Demonstrates initiative, resourcefulness and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the department and of the larger Health System in organizing and prioritizing work, establishing procedures and systems and ensuring the orderly and timely flow of business through the office. Coordinates the clerical and administrative staff workflow through the office. Coordinates and administers human resource and payroll functions and participates in budget review and financial processes. Applies a detailed knowledge of areas of assigned responsibility, and a general knowledge of the department functions and its interrelations with the larger Health System organization.
Primary Duties and Responsibilities:
•Establishes the administrative and office management systems for the department and underlying offices and functional units. Composes policy and procedure manuals and statements for the department. Is charged with responsibility for disseminating information including announcements, information bulletins, policies and procedures (Departmental and CSHS) throughout department and with monitoring and follow-up responsibility to ensure adherence to policy and reporting requirements.
•Uses Cedars-Sinai programs such as PeopleSoft and Concur.
•Makes travel arrangements and submits Concur reimbursements.
•Provides office coverage for colleagues.
•Establishes and maintains electronic and hard-copy filing systems for the department/unit.
•Screens and prioritizes routine and non-routine phone calls and routes inquiries to other levels as appropriate.
•Other duties as assigned.
Teamwork/Customer Relation Responsibilities:
Provides office coverage for colleagues.
Provides training for new employees.
High School Diploma Required
Undergraduate School - Health Administration, Business Administration, or related Preferred
Two to three years progressively responsible office and administrative experience, such experience demonstrating ability to independently establish administrative and office procedures; ability to identify problems and resourcefulness to resolve them independently and on own initiative.
Two to three years assisting management in an office setting, preferably hospital system.
