Under general supervision of HR Compliance and Labor Relations (HRC/LR) management, coordinates administrative and business processes and procedures for HRC/LR. Demonstrates initiative, resourcefulness and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the department and of the larger Health System in organizing and prioritizing work, establishing procedures and systems and ensuring the orderly and timely flow of business through the office. Create and maintain HR Compliance files, including but not limited to Affirmative Action, Wage & Hour, Litigation, Labor Relations and other special project work. Develop and apply knowledge and understanding of the organization, functions, policies and procedures of the Department, and the inter-relationship with the larger Cedars-Sinai Health System. Coordinates and administers human resource and payroll functions and participates in budget review and financial processes.

Follows, establishes, documents and coordinates and/or executes administrative and office management processes/systems and provides administrative support to HRC/LR management and staff to ensure efficient office operations, well-maintained electronic and paper files and overall good order.. Responsible for HRC/LR department manual.

General processes include:

Departmental file organization and maintenance

Mail distribution

Special mail services (e.g. messenger, courier, overnight)

Supply inventory monitoring and ordering

Facilities requests (e.g. air/heat issues, lighting)

Equipment maintenance and ordering requests

Staff expense reimbursement requests

Tracking budget expenditures

Printing requests (e.g. business cards, training manuals)

Compliance poster location log

Leverage knowledge of administrative practice, policies and procedures and the ability to independently problem-solve and perform duties and responsibilities. Review, revise, and maintain and update HR Compliance administrative manual.

Screens calls, inquiries and requests; exercises judgement when prioritizing calls and appointments; routes inquiries to other levels of the organization as appropriate.

Maintains the Executive Director’s calendar, schedules appointments and meetings, makes travel arrangements. Arranges meetings hosted by the Executive Director, coordinating meeting rooms, contacting attendees, facilitating their attendance, ensuring that required informational materials and equipment are provided.

May assist other HRC managers/staff with meeting arrangements.

Assists Executive Director with budgeting and tracking process. Includes review of budget/financial reports and data, identification of variances or discrepancies and entry of data. Notifies Executive Director of issues cited.

Proficiently type correspondence, memoranda, legal, procedure manuals, policy statements, and other documents. Skillfully draft, proofread and edit documents, including but not limited to emails memos, letters, reports, meeting summaries, announcements and logs.

Proactively manages, coordinates and administers all human resources and payroll functions for the department - Staff Development Advisory Network (SDAN) Representative, Safety Representative and Kronos editor.

Attends scheduled SDAN, Safety Kronos and other relevant meetings/training

Monitors and provides ample notice to staff of mandatory training and other requirements

Update staff skills in HRIS system

Serves as HRC/LR HealthStream contact

Maintains department HR records as required for survey purposes

Monitors staff Kronos, identify gaps/questions, obtain signed PRAs and edit time records

Maintains HRC/LR Safety manual

Pre-employment and onboarding preparation

Termination Checklist

Provide administrative and project support as needed to all HRC/LR disciplines; Compliance, EEO/AA, Labor Relations and Litigation.

Education Requirements:

High School/GED Required

College - Includes courses in business, accounting, computer operation and

applications preferred

License/Certification Requirements:



Progressively responsible office and administrative experience.

Experience providing operational/administrative support in a large, complex organization.

Experience working in Human Resources
