Manage complex calendars for three faculty (Division Director/Fellowship Director/PI, Associate Residency Fellowship Director, Faculty Leader for Resident Committee for Diversity and Inclusion).

Primary Duties and Responsibilities

  • Coordinate tasks for Residency Program and Family Planning division.

  • This includes coordinating interviews, uploading information in New Innovations, onboarding new fellows, and providing administrative support as needed

  • Coordinate division meetings, lab meetings, and other meetings as required; Formats, types, and edits correspondence, documents, memos, reports, meeting minutes and/or presentation materials

  • Handle confidential correspondence related to faculty, physicians, etc. Coordinate travel arrangements

  • Process and expense and travel reimbursements in Concur for faculty and fellows

  • Assist with onboarding PI’s lab staff, students, and other trainees. Assist with grant preparation as needed, e.g., reference manager. Assist with updating references for research articles, chapters, etc

  • Manage renewals for professional memberships, journal subscriptions, license renewals, etc. Prepare PowerPoint presentations. Assist with updating policies and procedures for director’s clinic

  • Update faculty CV’s. Provide cross coverage for admin team members. Other duties as required

  • May act as or support the Staff Development Advisory Network (SDAN), Safety Representative and/or Kronos editor within the department and or unit

Qualifications:

  • High School Diploma/GED required. Bachelors degree preferred.

  • 2 (two) years office and administrative experience required in a healthcare or academic setting preferred.

  • Fellowship administrative experience highly preferred.
