Cedars-Sinai Surgery Scheduler ENT in Los Angeles, California

Job Summary:

The Surgery Scheduler

schedules patient surgeries, outpatient procedures and performs other related

surgery scheduling tasks for various surgical specialties of the Cedars-Sinai

Medical Group. Depending on the needs of the department, this position

may be structured as either a front-office position, with additional

responsibilities of a Patient Service Representative (“PSR”) that focuses on

surgery scheduling and related administrative tasks or as a back-office

position, with additional responsibilities of a Medical Assistant (“MA”) that

focuses on surgery scheduling in combination with general back office

tasks. In the latter case, the surgery scheduler will have

certification as a medical assistant.

Essential Duties andResponsibilities

Surgery/ProcedureScheduler Responsibilities:

  • Coordinatessurgery/procedure time between patient, hospital/outpatient surgerycenter, and physician

  • Maintainscalendar of surgery and procedure times; follows up with physician toresolve conflicts of schedule in a timely manner

  • Pre-certifiesprocedures with insurance company

  • Obtainsnecessary special equipment requested by physician for specific procedures

  • Servesas a primary contact for the patient, provides pre- and post-procedureinstructions and assists with patient inquires

  • Worksproactively to ensure that all arrangements have been made to ensure atimely and orderly environment for each surgical procedure

  • Followsup with all parties involved to communicate changes in schedule or placeof surgery; works proactively to ensure that all changes are handled in anorderly fashion

Surgery Scheduler

responsibilities will be in combination with one of the following (i.e. PSR or

MA) job descriptions, depending on the needs of the department.

PSR Responsibilities(may include the following):

  • Greetspatients; responds to patient questions and complaints

  • Collectsco-payments and insurance cards/gives receipts/reconciles payments/batchesfee tickets/copies required information

  • Preparescharts and reviews/performs/updates demographics and insurance information

  • Managespatient flow and maintains waiting rooms

  • Schedulesfirst available appointments; schedules with ancillary and specialtyproviders

  • Takesvoice mail off phones; answers and triages calls, directing to appropriateindividuals or departments

  • Performscheck-in and check-out functions

  • Processesand tracks referrals; handles patient and/or MD correspondence

  • ManagesMD requests

  • Performscheck-in and check-out functions

  • Abilityto train co-workers

  • Monitorswork flow; reviews morning and afternoon tasks; assists in workassignments

  • Reportsperformance issues to supervisors; recommends areas for improvement

  • Interface/liaisonwith other departments


  • High school diploma or equivalent.


One or more years of surgery scheduling experience. Strong interpersonal and communication skills, especially in the areas of patient and physician relations. Ability to work independently as well as within a group in a multi-tasked, fast paced environment. Well-developed organizational and prioritization skills is essential. Strong computer skills; experience with Microsoft Windows is essential; IDX, EIS-OR, or other computerized scheduling systems preferred. Bilingual English/Spanish or English/Russian skills is a plus.
